We have three great updates to share with you for this Feature Drop Summer Edition!

The greatly awaited Visitor Management module is now available! You can find below all the information you need to get the module and start creating visits.

Our second update is related to our Floorplan and how occupancy is shown. Let us tell you more about it below!

Third, we are excited to announce that the Smart Displays app is available on the Apple App Store!

Smart Displays App Update

We are excited to announce that the Smart Displays app is available on the Apple App Store. This update means that iPads can now be configured for various functionalities, including Visitor Management, Room Display, or Interactive Wayfinder. This flexibility allows for a more versatile and integrated experience with RICOH Spaces.

Floorplan - Time Based Availibility

We are adding a time picker on the Floorplan to standardise and make the occupancy of spaces clearer. You can select to see the current Live occupancy or pick a specific time.

The Visitor Module, what's that?

The Visitor Management updates in RICOH Spaces enable customers to deliver a high-end guest experience that mirrors the quality and values of their brand. This stand-alone RICOH Spaces module enables you to create and manage all your visitors on-site for all your locations, all around the world. On top of that, the module is a fully integrated solution: from creating visits to managing your guests and welcoming them at your reception, RICOH Spaces is there to provide a clear and organised communication channel.

Some key highlights

Ensuring Compliance and Duty of Care

Organisations are required to comply with workplace Health, Safety, and Welfare Regulations. Our Visitor Management features are designed to help you meet these legal obligations, ensuring a safe and compliant environment for all visitors.

As an example, visitor management allows for effective record keeping of visitor details with the option of hosts being able to make their guests private and not save their details to the address book. We also feature an Emergency List - where you can add your visitors for the day to show they are accounted for in the event of an emergency where you may need to evacuate the building.

Sign-in Panels - Don't let your guests waiting

Visitor panels are paired with RICOH Spaces. Any pre-registered visitor who has arrived on site can easily sign in by scanning the QR code on the panel or using the PIN they received in their email invite.

Say Cheese! Visitor labels can have your guests' pictures added to them.

Once they have signed in, the host will receive a notification. It can't get better, no? 😉

Advanced Management - Make the first impression counts

Whether from your Outlook Inbox, your RICOH Spaces mobile app or web app on any device, you can easily create visits for multiple visitors at once. You can tag, add notes, update details and status, resend emails, assign spaces, see their questionnaire completion status and so much more!

Everything is stored in your address book so you can easily invite them back without the hassle of typing all the information again.

Those functionalities enhance the overall experience for both hosts and guests, ensuring a positive and professional interaction every time.

Modern Digital Invites - Nobody wants a generic boring email

Make it exciting to come to your office! Guests are provided with a user-friendly online landing page, a one-stop hub for all their visit details, such as the date, host, and location information. This streamlined approach simplifies their pre-visit preparations and enhances their overall experience.

Once guests have filled in the questionnaire and got their PIN, it makes it even smoother for them to identify themselves on-site.

Insights - Of course, it gets better

Our insight reports collect all data related to your visits to provide you with handy graphs and tables. Curious about last month’s visits, top hosts, or frequent visitors? RICOH Spaces offers all these insights and more.
