In this article, we will go through what happens once you have created a visit: where and how you can manage details such as assigning them spaces, update their details, see the questionnaire status, and even change their status.
Users without admin privileges will only be able to manage their own visits (visits they are a host of).
Users with the correct admin privileges ( Global or Visitors admins) will be able to manage their own visits as well as all other visits created.
Note: If you have selected to send the email invite X days before the visit and created the visit. If after that, you change the visit's date, you will have to select "Send Invite". Should you not, your visitors won't receive the email invite.
Managing a visit from the Feed
Users can use the Visitors section of their Feed to manage their visits.
Note: you can also manage them from your RICOH Spaces mobile app. Head here.
1. Navigate to your Feed on the right side of your Homepage.
2. Select the Visitors Section.
3. A summary of your upcoming visits will be displayed. You can use the search and filter by status.
4. When you click on a visit, you can see and edit the details related to the visitor and their visit, including the questionnaire status and activity log. You can also assign them spaces. The ID number in the text field in the Visitor details window allows the receptionist at the front of the building to track visitors for the day by entering the given badge to the guest.
Note: Depending on the location settings, you may not be able to assign visitors spaces.
Visitors Module
1. Head to the Visitors module.
2. All visits will be displayed.
