Within a location, you can configure your visitor management module. Find below an overview and explanation of its second section: Visitor Questionnaire.

Note: If you turn off your questionnaire, the questions are maintained but set to an inactive state.

Note: the visitor questionnaire replaces the daily pass.

What is a visitor questionnaire?

Visitor questionnaire allows the set up of questionnaires including various question types or documents.

For whom?

Visitors can complete questionnaires on web via a link in a pre-registration email or sign in via tablet. Admins/Receptionists are also able to complete questionnaires on behalf of the visitor via the visits log.

Question Types:

When opening the menu, you will see all the different question options available:

  • Short answers: Free text field for one-line answers.

  • Paragraph: Free text field allowing multiple lines answers.

  • Single Choice: Create different options from which the visitor has to pick one.

  • Dropdown: Create a list of predefined answers from which people will select a single option.

  • Multiple Choice: Create a list of answers from which your visitors can select multiple of them.

  • Smart Fields: Select from our list of pre-made visitor detail fields. Visitor responses to this question type will be mapped to their profile in the address book. If this information is already complete for the visitor they will have the opportunity to update it, ensuring you have their most up-to-date details.

  • Documents: You can either select a PDF, Video or URL. Please refer to our dedicated Documents & Media article for further information on how to upload and manage your documents. [Coming]

Note: The questions are required by default. There is no option to toggle this on/off.

Where can questionnaires be completed?

  • Via a link in a visitor invite

  • On the panel, when a user signs in and has not previously completed the questionnaire

  • By the admin via the visits log. They may complete the questionnaire on behalf of the visitor.

Where can you see the questionnaire completion status?

  • Visible on the visits log, both on the table and in the visit details

  • Visible on the host's feed.

  • Status may be complete, sent, or not sent.

Note: Users cannot update their answers once submitted.

Who can see the visitor's answers?

Only visitor admins and the host will be able to see the answers within the Visitors module, in the visitor's profile area and through the Feed.

Will the questionnaire be available to the visitor even after the visit?

No, the questionnaire has an expiry date. Once the visit has occurred, the questionnaire will not be accessible anymore.
