Overview of the RICOH Spaces Visitor Management Module

In this article, we will go through the different areas of the Visitor Management module.

  • Visitor Management Configuration

The configuration of the Visitor module is done on a location basis.

Global and location admins can access the Visitor Management section within a location.

There they can set up the label, questionnaire, and default settings. Head here to have a better understanding of each section.

  • Visit creation and management

Users and admins can create visits. This can be done through the module, Feed, outlook. On mobile or web. Head here to find out more.

  • Guest experience

Your guest experience is customisable through your location's configuration and how the user has created the visit. You can find out more about your visitors' experience here.

Q&A

  • Are panels compulsory for the Visitor Management module to work?

Panels are not compulsory for the module to work; you could simply have a receptionist or dedicated Visitor Admin. We still do recommend panels as they provide a fast, simple sign in experience, ensuring that your reception area won't have long queues and get clogged.

  • We have a reception, how can we include them in the process?

Add your reception email to your employee list. If you grant it the role of visitor admin, the reception will be able to manage all visits for your location. Alternatively, people can add the reception as a host/organiser of the visit. This way, it will be able to view, manage, and sign in visitors. When signed in, the other hosts/organisers will automatically be notified, allowing them to make their way to the reception.
