Q: Where can I find the terms and policies (T&Cs)?

Organisation Settings

Q: How can I cancel a desk assigned to a specific person, so anyone can book it?

Head to your Organisation Settings tab, and find the location where the employee has been assigned a desk. Within the location menu, head to the Spaces section. You can see which spaces have been assigned to whom by looking at the Assigned To column. Use the edit button and find the spaces’ Assigned To section. There, you can manage all people assigned to this specific space.

Q: Who can create a location?

Only a global admin can create a location.

Q: What is the difference between space enabled and space bookable?

Space enabled means that the space is there, potentially available but it might not be bookable. A bookable space is a space that can be booked.

For example; you might have a phone call area: the space is enabled (usable) but it is not bookable.

Q: How do I disable or enable a space?

You can do that directly from your organisation settings tab. Select a location and head to the Spaces section where you can edit spaces, disabling and enabling them.

Q: Why are some spaces coloured in grey on the Floorplan?

Light grey-coloured spaces are spaces unavailable. This might be because you have reached your maximum booking limit for the day. Dark grey-coloured spaces are disabled. This means that they are not in use nor bookable. That can be changed in the space's settings.

Q: I have sensors installed across my location, what now?

Sensors capture key information about your live office such as the occupancy and the count of people. Those data are captured in your -also available- insight reports: Attendance and Waste Space. The people count on the Floorplan is visible at the top right corner of your rooms. Turn on the policy using sensors, 'Cancel unoccupied desks', and turn on Occupancy as availability for all your relevant spaces.

Here is how it will reflect on the Floorplan:

  • When the option has been enabled, all non-bookable spaces will show as Green (not currently occupied) or Red (currently occupied).

  • If a space is bookable and does not use IOT sensors, then it will show as orange if not booked by a user at the time.

  • When a non-bookable workspace is occupied via IoT sensors rather than displayed as orange on the floorplan it will show as red.

  • If a space is Enabled, Bookable and set up to use occupancy as availability, booked workspaces will still show as Red on the floorplan even if the space is unoccupied.

Q: How do I enable an employee to host visitors?

You can do that easily from the Organisation Settings tab. In the employees' section, edit your employees’ permissions to host visitors.

Q: What does 'using occupancy as availability' means?

Thanks to the sensors, when a space is occupied, it will automatically show as unavailable.

When a space is not occupied (even if a booking has been made), it will show as available.

Q: Can I assign a space to multiple people?

Yes. You can assign multiple users to the same desks or zones. You can even select which days the spaces are assigned to them.

Q: Can an employee be assigned a desk in different locations?

Yes, you can assign employees to any desk in any of your locations if you have the right admin rights.

Insights

Q: We have multiple locations but I can only see one in the insights tab. Why?

You might not have the right admin permissions to view multiple locations, please ask your global admin.
