Learn more about the sign-in methods pre-registered visitors can use on the day once they arrive on site.

Pre-registered visitors are able to sign in on-site using different methods. They can either use the panel and follow the steps or scan the QR code on the panel and use their mobile phone to sign in.

When visitors scan the QR code or access the location-specific sign-in URL, they will be presented with a flow similar to the room panel, allowing for consistent and quick sign-in from their mobile devices.

Guests will be able to:

  • Use the PIN provided in the invitation email to sign in

  • Use their email/phone to confirm their identity

  • Complete the questionnaire

  • Receive a greeting message

  • Have their picture taken for their badge

Non-registered visitors, also called ad-hoc visits, will be able to register their visit using the panel. They will need to complete essential fields, select a host, and complete the questionnaire. Once they have signed in, the selected host will be notified.

Depending on the existing visitor details provided, they will either identify themselves using their email or phone number.

Should the guest experience include a badge with photography, the guest will be able to take a selfie with their device.

Note: URL cannot be shared, the guest has to scan the QR Code on the panel.

If the guest has already completed the questionnaire, will they have to do it again?

No, RICOH Spaces will directly sign them in once they have identified themselves.

If a guest has changed their number or email, will they be able to update it?

Yes, their details will be updated including on the visitor details page.
