When registering a visit, users can select whether they want to make the visitor private or not. Making a visitor private means that the visitor will be added to the address book but it won't appear in any searches done on RICOH Spaces.

How to make a visitor private during the visit creation process

  1. Click on Create Visit within your Visitors tab on RICOH Spaces.

  2. In the new window, start searching for the visitor using their name.

3. Should it not be in the Address Book, select Create a new visitor. A new window will appear, prompting you to create a visitor profile.

4. Fill in the form required and at the bottom, enable the toggle 'Make this visitor private'

Note: You can also disable the toggle ' Save visitor to Address Book'. It gives the user the ability to create visits for a visitor without their information being stored in the address book, meaning their information isn't saved anywhere except on the visit itself. Should someone try to find that visitor's details in the address book they wouldn't find anything, even if they're an admin.

Making a visitor private from the Address Book

  1. Head to your Address Book section within the Visitors tab.

  2. Find your visitor within the list or search for their name.

  3. Once you have found them, click on View next to their name.

4. Within the visitor's profile, click on Edit Profile.

5. In the newly opened window, scroll to the bottom and find the option 'Make this visitor private".

6. Enable the toggle and click on Update Information.

Your visitor won't appear in searched anymore.
