Pre-requisites
In order to adminster RFID badge numbers for users, you will need to be a Ricoh Spaces Global Administrator. If you do not currently have this Role assigned, then you will need to find another Global Admin within your ogranisation to give this Role to you.
Adding New Badge Numbers
The easiest way to add badge numbers to a user's profile is to allow each user to register their own badge using this process. The process expects that all users already have an account in RICOH Spaces (ie they have logged in once or their details have been imported).
However, if you want to pre-register badge numbers against users, this can be done either individually (on a per-user basis) or in bulk.
Identifying Badge Numbers
You will need to know the "number" of each badge's RFID chip. The manufacturer may be able to provide this or you may be able to export it from any other system that uses the badge (eg door or printer access). It is often a hexadecimal string such as "febec7db."
Individual Update
To update the badge number for an individual user, in the RICOH Spaces web application navigate to Organisation Settings and then Users:
Select the user you wish to update, type the badge number in the correct field and press Save Changes:
Bulk Update
If you use the CSV Upload Process to add users to RICOH Spaces in bulk there is a field in the import spreadsheet to include the badge number of each user.
Removing Badge Numbers from Users
If you wish to reuse a badge for a different employee (or example if an employee leaves the company and their badge is transferred to another person) you will need to remove it from the original employee first. In the RICOH Spaces web application navigate to Organisation Settings and then Users:
Select the user you wish to remove the badge from and delete the badge number.
Optionally (if the employee has left the business) you can disable the user from RICOH Spaces.
Press Save Changes:
The badge number is now available to allocate to another user using the Add New Badge Number process.
