Manage RICOH Spaces Roles

Assign, edit, delete roles

In this article, we will show you how to manage Global and Local roles.

Note: Some additional roles and third-party access are given directly within the module configuration area.

Note: To manage roles, you need to be a Global Admin, Roles Admin or Location Admin.

What are RICOH Spaces Roles?

Standard users can be assigned one or multiple roles. Roles can be assigned at a global level, applying to all locations, and local level, applying only to one location. Each role gives access to different functionalities and modules.

Managing Global Roles

Note that Global roles apply to all locations.

1. Head to RICOH Spaces on web.

2. Navigate to Organisation Settings and click on the "Organisation Roles" section from the menu.

3. Within the section, you will see a list of existing users with global roles assigned to them.

Functionalities include:

  • Search Bar: Search a user to see their active role/s

  • Filter: Filter by global role

  • Edit: Click on edit to edit a user's role

  • Delete: Click on the bin icon to delete a user's permissions

  • Assign Role: Click on the button at the bottom right of your screen to assign a global role to a new user.

💡 When assigning a new user, ensure you have selected them from the drop-down menu search.

Select the role/s you want to assign to them and click assign role.

Note: Newly assigned users may need to log out and log back in for their role to apply.

Managing Local Roles

Local roles are given at a local level within the location and only apply to that location. To assign local roles in different locations, you will have to go into each location to assign the user.

1. Head to RICOH Spaces on web.

2. Navigate to Organisation Settings and click on the location for which you want to manage roles

3. From the menu, click on "Roles".

4. You will see a list of existing users with local roles assigned to them.

Functionalities on the page include:

  • Search Bar: Search a user to see their active role/s

  • Filter: Filter by local role

  • Edit: Click on edit to edit a user's role

  • Delete: Click on the bin icon to delete a user's permissions

  • Assign Role: Click on the button at the bottom right of your screen to assign a global role to a new user.
