Mobile: Booking on Behalf of Someone

In this article, we will show you how you can book a space on behalf of another user using your mobile app.

Note: Only specific roles and users can book on your behalf. To set someone up with delegated booking access, please, see our article Setting up a delegate booker.

Note: Whilst you can book on behalf of users on mobile, you cannot remove bookings on their behalf.

Booking on behalf on mobile

  1. Head to your mobile app and navigate to the Office tab. There, click on the "book on behalf" icon at the top of the screen.

    2. Search for the user you want to book on behalf of. For each user on the list, you will see the type of spaces you can book on their behalf.

3. Once you have confirmed the user, a purple banner will appear at the bottom of your screen indicating that you are now booking on their behalf.

You can select a space from the Office tab or open the Map.

4. Once you have found a space, follow the booking process as usual.

Note: When booking on behalf, you will see the user's favourite spaces (marked as a heart). While you can see them, you cannot edit them.

5. Once you have confirmed the booking, the user you booked for will have the booking in their calendar.

FAQ

  • I am booking on behalf of someone, but it doesn't seem to be working. I am still booking as myself.

In order for it to work, ensure that you are selecting the right user from the available drop-down list. If they are not available or selected, you won't be able to book on their behalf.

  • I am booking a room on behalf of my colleague on mobile but I can't add external users?

On mobile, you will only be able to select attendees from the employee list.

  • Who can book on my behalf?

Users you have set as delegate bookers in your profile settings, Delegate Booker admins, Location admins, Schedule Admins and Global Admins. The type of spaces they can book on your behalf will depend on their permissions.
