Use RICOH Spaces Within Your Google Calendar

RICOH Spaces integrates with Google Calendar to provide users with the ability to add spaces to their events.

Using RICOH Spaces Spaces within Google Calendar

Prerequisite: When using the add-on for the first time, you may be asked to give a set of permissions to the application. Please accept.

  1. Head to your Google Calendar

You can either decide to create the event first, then select the room or click on the RICOH Spaces add-on, select the room, and then create the event.

2.1 EVENT FIRST: Create an event. Fill in the information and click on 'add rooms'.

2.1.1 You can search for rooms or resources and simply browse all rooms and resources.

2.2 ROOM FIRST: Click on the RICOH Spaces Add-on.

Note: When you open the add-on for the first time, you will be asked to select your region.

2.2.1 Select a location and date.

2.2.2 You will then see the list of rooms. Use the three-line icon at the top of the window to use filters.

2.2.3 Click on a room to see its schedule and book.

Multi-Day Bookings - Room Panel Note [Coming Soon]

If you create a multi-day booking within your Google Calendar, it will sync across all our platforms. Find more information about this use case below:

All-day multi-day meetings

Example: a meeting running all day for two consecutive days.

From the room panel:

  • Extending the booking is not available

  • Cancellation is available

  • End early is available and ends the booking at the point the action is performed

  • Check-in is not enforced

Timed multi-day meetings

Example: a meeting running from Monday 2 PM to Tuesday 10 AM.

From the room panel:

  • Extending the booking is available

  • Cancellation is available

  • End early is available and ends the booking at the point the action is performed

  • Check-in is required at the defined start time on day 1 only; the system does not re-trigger check-in on subsequent days

💡Tip: Users who want multiple check-ins from the room panel across consecutive days should be directed to use recurring meeting functionality, either through their calendar provider or through RICOH Spaces' native recurring booking capability. Multi-day single-event meetings are not designed to accommodate per-day check-ins.
