Accessing RICOH Spaces

RICOH Spaces is accessible via both web and mobile applications.

To sign in to RICOH Spaces you will need to use either:

Your company's RICOH Spaces Administrator(s) will be able to tell you which method to use.

If your company uses two factor authentication there may be additional steps to undertake to complete your authentication.

The Basics

Desk Booking

Desks can be booked from either the web or mobile application.

Desk bookings can also be cancelled from either the web or mobile applications.

On the floor plan, any desks that are available to be booked will show as green. If a desk is white, then booking has been disabled for that desk. If a desk is grey, a policy is stopping you from booking it (e.g. you may not have permission to book a particular desk or you may have reached your maximum number of desk bookings for that day).

Checking In

Your company may have chosen to enforce Desk Check In. If they have, you will need to Check In to your booked desk on the day on which it is booked. Depending upon how RICOH Spaces is configured by your company administrator(s) there could be up to 3 different ways to check in:

1. Desktop check-in

On the RICOH Spaces home page of the web application you will see a "Check In Now" button under your booked desk details. Simply click this button to Check In.

2. Mobile check-in

On the RICOH Spaces mobile application, you will see a "Check In Now" button next to your booked desk details. Simply click this button to Check In.

3. QR code scan

If QR code scan has been enforced you will have sticker on each desk that looks similar to this:

Once you press check in on the mobile app (or press the "Scan QR" icon at the bottom) your phone's camera will look for a QR code. Simply scan the sticker to check in.

Meeting Room Booking

Meeting Rooms can be booked from either the web or mobile application.

On the web application you can book a meeting room from 3 different places:
