Once an employee has requested one or more services for a room, the relevant administrator/s will be notified.

This article will help you process service requests using the RICOH Spaces web app.

Requirement: Managing services is reserved for administrators with specific titles: global admin, location admin, facilities admin, and service admin.

There are 4 types of requests:

  • Approval Request: A room which needs approval

  • Layout Request: Changing a room's layout

  • Catering Request: A requirement for catering

  • Equipment Request: Equipment to be provided

Rather than 4 different requests which need to be managed for the same booking, all requests are submitted as one, ensuring the context of the whole request is clear for approval.

When a booking with multiple service requests comes through, you can either accept all of them or none. There is currently no option to approve some and reject others.

How to process service requests

1. If you are in charge of service requests, you will then get an email notification when a new request has been submitted.

2. Following the link will open the Services page, where you can view all requests.

3. Click on the View button of any request to get more information and either approve or reject the request.

You can see a breakdown of the requests per category.

Note: You approve/ reject all items; you cannot approve some and reject others.

4. The employee who requested the service will then be notified by email of the outcome of their request.

Note: Schedule admin can approve or reject requests via the Schedule.
