Jobs Module Overview

You can use the RICOH Spaces Jobs module for anything that can be requested by a standard employee for a specific room. In this overview, we will go over the different kinds of requests users can make, how to create and how you can manage the requests.

Type of requests

You can offer your users the ability to make requests during their room booking process.

There are 4 types of services that users can request:

  • The room to be approved (An approval request): You might have some restricted rooms that can only be booked under some specific conditions. If a user wants to book the room, it will need to be approved first. Head here for more information about setting up an approval for a room.

  • A new layout to be actioned (Layout request): Some rooms can have different layouts. This requires someone to set up the layout before the meeting and put it back into its original layout after the meeting. Head here for more information about room layouts.

  • Catering to be provided (Catering request): Some rooms can have catering available to request. The catering provided is managed in your item catalogue section. Head here for more information about the item catalogue.

  • Equipment to be provided (Equipment request): Some rooms can have equipment provided upon request. Those equipment items can be managed in your item catalogue section. Head here for more information about the item catalogue.

Managing requests

Requests

The requests will appear in the Requests subtab. There, you can see details about the requests as the due date, location, type, who requested it, and date of request.

By enabling the Show All toggle, all requests will display (rejected, cancelled and passed requests).

On that page, admins can reject or approve requests. Head here for more details.

Job Board

Once a request has been approved, it will become available in the Job Board subtab. This Kanban-style view supports the allocation of tasks and will provide an overview at a glance.

Using the search or filters above the board, you can search for specific tasks.
