When booking desks, your employees are booking a slot. Administrators can customise these slots for greater control. This article covers the implications of updating existing (live) booking slots in RICOH Spaces.

Warning: When the booking slot type is changed, all future bookings for the affected workspaces are automatically cancelled. This is because it is not possible to remap the bookings to the new slot option selected. Each user with a booking will be notified by email that their bookings have been cancelled and prompted to remake the bookings if still required. Historic bookings will not be removed but will no longer be visible through the app

Changing slot templates

Updating booking slot templates affects future bookings.

Moving from a single slot to multiple slots

Changing the booking type from a single slot to multiple slots results in all future bookings being cancelled.

Moving from AM/PM to a single slot

Changing the booking type from multiple slots to a single slot results in all future bookings being cancelled.

Moving from a custom desk setting to a zone or location setting

Desk slot settings can be defined at a location, zone and desk level. If a policy has been set on a particular desk, and you would like to revert to a zone or location policy, toggle "Disable slot template".

  • If the desk is not part of a zone, the location settings will be applied

  • If the desk is part of a zone which has booking slots enabled, the zone settings will be applied

  • If the desk is part of a zone which has booking slots disabled, the location settings will be applied

This will cancel future bookings.

Moving from a custom zone setting to a location setting

If a slot setting has been defined on a particular zone, and you would like to revert to the location setting, toggle "Disable slot template".

  • The zone will no longer have its own booking slots, and all desks will default to the location setting

This will cancel future bookings.

Existing bookings and new slots

Future bookings won't be cancelled when updating slot templates (e.g., a start time at 8 am instead of 9 am). The future bookings done prior to the change are still active.

Adding/ removing spaces from zones

Adding or removing a space in a zone will still not trigger cancellations of future bookings.

Cancelling email

When the booking slot type has been changed, users will receive a cancelling email looking like this:
