RICOH Spaces Mapping System - Overview

The RICOH Spaces Mapping System allows organisations to recreate their workplace into a customisable, interactive map, allowing users to zoom, tilt and rotate to locate points of interest throughout the office as well as find their desks and rooms. You can even zoom out of the building to find the surrounding area and landmarks, connecting your workplace to the world around you!

Map Traffic Light Colours

Note: By default, the Map is now your landing page. You can choose your landing page to be either the Map or the Schedule. To change your Homepage, head to your Profile, go to the Preferences section and select your Homepage.

Using the Map top section, you can easily change the date, time and update your location and floor level. The Map will be updated accordingly.

Colour Mapping:

  • Green - Past, Present and Future dates.

    • The space is available (not booked)

    • Outside of the booking slots (before or after)

  • Red - Now or specific time

    • Booking is present on the current slot for the resource but not current users' booking

  • Blue - now or specific time

    • My booking on the current slot

  • Grey - Now or at a specific time

    • I have a booking in another resource and therefore can't book anything else

    • The resource is disabled or not bookable

  • Orange

    • Someone is sat now only

How Does it Work?

Side Menu

  • On Behalf Booking: You can easily book on behalf of someone else who gave you the right to do so (See here how to set up a delegate booker).

  • Map Layers: Customise your view by selecting the layers you want to include.

    • Show models on the desks

    • Show models in the meeting rooms

    • Show people's faces on the Map

    • Show occupancy count in rooms

    • Show occupancy count in zones

  • Roles: Visualise the Fire Marshals and the First Aiders.

  • Time of the day: Select your time of the day. This will change the lighting of your map.

  • 2D: This will switch to 2D Map.

  • Map controls: This shows you how to rotate and zoom on the map.

  • Zoom: Use the +/- to zoom in and out of the map.

  • Reset View: Reset to the default Map view.

Top Menu

The top menu contains handy filters and functionalities:

  • Date: Pick a date from the calendar

  • Time-Based Availability: Pick the time you want to see availability for. Use the Live button to see the current time occupancy.

  • Location: Use the drop-down menu to select a location

  • Floor

  • Spaces Filters: Display a list of Rooms, Desks, Zones or Lockers. The list displayed will show your favourite spaces first ( the ones with a heart icon). Use filters to narrow your search and click on a space to book it.

    💡 Clicking on a space will also show you where it is on the map.

  • People List: The people list displays a list of all users who have a space booked in your location for the day or the week.

💡 Use the magnifying glass to see where the space is on the map and hover over the user's name to display more information about them and their booking.

Hover over a desk to book

Hover over a desk to show the slots available and book using the "+" button. You can also hover over your existing booking to cancel it.

Zoom

The map will be set as your homepage by default. To interact with the map, you can use the scroll wheel of your mouse to zoom in and out. Alternatively, you can use the ‘+’ and ‘-’ icons in the bottom right corner of the map.

Navigation

Navigation is a breeze! To move through the map just click and drag. To select a desk, room, or other point of interest, simply click on it.

Pitch and Rotate

Hold a right-click or two-finger pinch (for a laptop trackpad) to pitch and rotate the map - giving you a whole new perspective of your workplace!

Indoor and Outdoor Navigation

Incorporate a true mapping experience, allowing users to navigate from space to space, both within, and outside the workplace.

Indoor Mapping

Indoor mapping offers the capability to easily navigate from one space to another inside the office. It works by simply clicking on the space you need to find and hit the arrow icon at the top:

This will open the navigation menu. Select your start/end point.

The system will provide a purple line navigating you from your starting space to your destination.

Use the tick box "Avoid Stairs" if you would like to avoid them.

Outdoor Mapping

The capability of navigation goes beyond the workplace and will allow you to easily navigate anywhere. The process is similar but with more transportation options.

To access navigation, click on any space and click the arrow icon:

The space you start from will automatically appear in the ‘to’ section.

Choose your ‘from’ and ‘to’ points and get all your navigation steps and purple route on the map:

Additionally, use the icons above the ‘from’ section to change your mode of transport:

FAQ

  • What happens when I disable a space?

It will show in grey on the Map and sensors won't pick up its occupancy.

  • What happens when I look at spaces on a day the office is closed?

When the office is closed, spaces (desks, parking, lockers, zones) appear grey and non-bookable. Meeting rooms will appear grey but will be bookable.
