Introduction
Once you have paired your room panel with RICOH Spaces, this article will explain how to customise it.
You can change the following:
Booking validation type: PIN, QR Code or None
Background: Colour or image
Customising your Meeting Room panel
In the RICOH Spaces Web app:
1. Navigate to the Organisation Settings tab.
2. Click on the location that contains the rooms that you want to customise
3. Select the Screens section
Tip: The Screens section displays all your registered panels for the selected location. You can filter panels by Type to narrow down your search or directly search for a specific panel using its name.
4. Find the screen you want to customise and click Edit.
5. Update the following items:
Name
You can amend the name of the panel, this will only be reflected within RICOH Spaces. In most instances, this is kept the same as the name of the room itself.
Location and Space
In this section, you can update the location in which the panel is being installed.
You can also update the name of the meeting room itself. The name of the meeting room which is detailed here will be shown in the preview on the right-hand side, once it is saved it will then be reflected on your room panel.
Booking Validation Type
In this section, you can select your booking validation type.
PIN
To book a meeting:
Users will only be able to book a meeting using their unique PIN code.

QR code
To book a meeting:
Users will need to have their RICOH Spaces Mobile Application ready.
Once they attempt to book a meeting via the room panel, a QR code will be displayed.
Via the RICOH Spaces Mobile application, select Scan QR and then point your camera to the panel QR code to complete the process.
None (No validation)
Note: Selecting 'None' removes the requirement for any authentication at all. Rooms will be booked “anonymously” with the room name as host (it won't appear in anyone's calendar). There will be no attendee information available. Check-in is still required except if you book for the current time. Any bookings created via Outlook/Google which are displayed on the panel can be cancelled by anyone.
Background
In this section, you can upload a background image or select a background colour for your panels
Background image
The image can be a JPEG, JPG, PNG or WEBP file.
Once the image has been successfully uploaded, this can be previewed on the right-hand side of the page as to how it would appear on the panel before it is saved and uploaded to it.
Colour
Alternatively, instead of a background image, you can select a colour by selecting the colour option and choosing one of your liking.
This can also be previewed on the right-hand side of the page as to how it would appear on the panel before it is saved and uploaded to it.
Disable Interactivity
You also have the option of enabling or disabling interactivity on the room panel itself.
If this is switched off, then the room panel will be interactive and users can book meetings via the panel.
If this is switched on, then the room panel will not be interactive and users will not be able to book meetings via the panel. Alternatively, they will be able to book meetings via the RICOH Spaces Web/Mobile Application.
Tip: Disable Interactivity is not compatible with the policy of enforcing Check-In to Meeting Rooms (as a user will not be able to select the Check-In button whilst interactivity is disabled.
6. Once you have finished customising your panel, press Save.
7. On the panel, use the Settings gear icon at the bottom left and press 'Refresh configuration'.
Note: Admins using Logitech Tap Scheduler panels will be prompted for a PIN. This is set in the Integrations area, see this article.
9. Your screen should update and display the latest changes.
