In this article, we will go through the steps to successfully set up your RICOH Spaces to enable Okta login for your employees.

What is Okta?

Okta is the world's #1 identity platform, it allows companies to create a master employee directory from a number of different sources. For example, a company might have multiple Microsoft tenants, a Google Workplace environment or even a Facebook Workplace environment. Okta allows administrators to bring all those sign-in methods together into a single identity source. RICOH Spaces leverages this by allowing its customers to sign in with Okta.

Note: This works via integration within RICOH Spaces and does come with some limitations. When signing in with Okta, the employee’s home page won’t show any meetings and meeting rooms won’t be bookable.

How to set up Okta

To use Okta within RICOH Spaces you first need to have an Application within your Okta environment. This can be an existing application or a new one specific to RICOH Spaces.

1. To create an Okta application, open your Okta instance, and select applications. You should see a list of your applications.

If you’re using an existing application you can skip the next step.

2. Click “Create app integration” and select the options listed below.

3. Click Next and fill in the required fields with this information.

4. You can specify who in your organization can access RICOH Spaces. Allowing everyone is recommended but this can be changed by your administrators at any time.

5. Once the application is created you will need to capture 2 fields the Client ID and the Okta domain. These fields should be added into RICOH Spaces’ Integration module or given to your CSM.

6. Once this has been completed, you should be able to log in to RICOH Spaces using your Okta credentials.
