Visitors Report gives you key information about your visitor management process. This guide will help you navigate through the data gathered so you can make informed decisions and leave the best impressions on your guests.

The Visitors Report can help you answer questions such as:

  • How many visitors are we hosting?​

  • What is the average visit duration?​

  • How many new visitors have been added to the address book?​

  • What are the most popular days for visitors?​

  • How far in advance are they pre-booked?​

  • What do my trends tell me about visits?​

  • Which companies are visiting me the most?​

  • Who are my most frequent visitors?​

  • Who is hosting the most visitors?​

  • How are visitors signing in?​

  • What spaces are visitors being assigned?​

At the top of each report, you will see the available filters:

  • Location Filter - You can add one or more locations and the report will provide all the data relating to your choice. This is a core filter and as such how all other filters act will depend on the selection here.

  • Date - Choose a predefined filter such as "last 90 days" or choose your custom start and end date.

  • Customer Name - Filter selection by customer's name.

  • Host Name - Filter by the host's name.

  • Visitor Records- Filter by visitor's email.

Please note that whenever you change the filters you must select "Update" for the report to refresh.

Key Metrics of the Visitors Report

  • Total Visits

The number of visits you have been having during your selected period.

Comparison to previous period

This metric provides insight into the percentage in which the utilisation has grown or declined. For example, if it was 50 last month and it is 100 this month, it has grown by 100% vs previous period (not 50%)

  • Daily Passes Issued

Visitors will have to complete a daily pass if enabled. It takes the form of a form users have to fill in before being allowed onsite. This metric tells you how many daily passes have been issued during your selected period.

  • Average Visit Duration

A number in hours. It starts when the visitor is onsite and checks in and ends when the visitor checks out.

  • Number of Visitor Records Created

The number of email addresses you have added to your address book.

  • Visitor Frequency by Day of Week

Count of visitors for each day of the week including weekends.

  • How far in advance are visits booked?

Are all your visits expected? Do you plan them well in advance? This chart answers those questions.

  • Count of visitors trend

This graph displays the number of visitors per date for a better overview of the peak dates.

  • Top Visits by Company

You can see which companies visit you the most frequently, how many visits they have done, how many people have been visiting and finally the average number of visits per visitor.

  • Most Frequent Visitors

Displays the names of the most frequent visitors. It includes also their emails, company and the number of visits.

  • Most Frequent Host

Should no host have been designated, this will count as unknown.

  • Visitor Sign-In Method

How are visitors signing in? This easy-to-read chart tells you whether an admin has been signing them in or if they have registered themselves.

  • What Spaces are visitors assigned?

Displays the names of the spaces you have been assigning your visitors.
