Get familiarised with the landing page of the RICOH Spaces web app. The module combines an interactive Map, filters and a Feed. Core features of The Map include making desk bookings, room bookings, and getting key information about your day, and people's status.

Interactive Map

Note: By default, the Map is now your landing page. You can choose your landing page to be either the Map or the Schedule. To change your Homepage, head to your Profile, go to the Preferences section and select your Homepage.

Using the Map top section, you can easily change the date, time and update your location and floor level. The Map will be updated accordingly.

Colour Mapping:

  • Green - Past, Present and Future dates.

    • The space is available (not booked)

    • Outside of the booking slots (before or after)

  • Red - Now or specific time

    • Booking is present on the current slot for the resource but not current users' booking

  • Blue - now or specific time

    • My booking on the current slot

  • Grey - Now or at a specific time

    • I have a booking in another resource and therefore can't book anything else

    • The resource is disabled or not bookable

  • Orange

    • Someone is sat now only

The icons on the right side of the Map:

  • On Behalf Booking: You can easily book on behalf of someone else who gave you the right to do so (See here how to set up a delegate booker).

  • Map Layers: Customise your view by selecting the layers you want to include.

  • Roles: V Visualise the Fire Marshalls and the First Aiders.

  • Time of the day: Select your time of the day. This will change the lighting of your map.

  • 2D: This will switch to 2D Map.

  • Map controls: This shows you how to rotate and zoom on the map.

  • Zoom: Use the +/- to zoom in and out of the map.

  • Reset View: Reset to the default Map view.

Filters:

The different elements at the top of the screen will help you to easily search workspaces or people.

Set the date, time, location, and Floor. You can also use Spaces and People lists.

If you use the People list, you will be able to click on a user to see where their desk booking is on the Map.

Once in a space's list, you can use filters to narrow down your search.

You can also favourite workspaces using the heart icon.

Feed

The Feed provides you with a snapshot of your activity:

  • Today's date.

  • Notifications: Get notifications about your activity.

  • Light/ Dark mode: At the click of a button, change the layout to light or dark mode.

  • Booking & Status: See all your bookings of the day. Check-in and out.

  • Schedule: Synchronised with your Outlook 365 and Google Workspace.

  • Visitors: Users can see and manage their visitors.

  • Loops: See your loop members' statuses and bookings. You can edit your loop as well.
