Emergency List on Mobile

Generate and manage your emergency lists.

In this article, we will introduce you to Emergency Lists: How you can generate and manage them.

Note: Only Global Admins, Location Admins, Location Managers, First Aiders and Fire Marshalls are able to create emergency lists for locations from within the mobile app.

Note: The Emergency list is not a customisable functionality.

How to generate emergency lists

  1. Head to your RICOH Spaces mobile app.

  2. Tap on the '+' button on your Homepage.

  3. Tap Emergency Lists.

  4. In the new window, tap '+ New List'.

  5. Choose your emergency type.

  6. Select the Location.

  7. Select who to include in your emergency list.

  • Employees: This will pull through any employee who has a desk booked or the 'In Office' status set in the selected location on the current date at the time the list is created, regardless of whether they have checked in to the desk/location yet or not.

  • Visitors: If visitors are included in the emergency list this will include any visits in the 'Visits' list for the current date at the time the list is created, regardless of their status.

8. Select the audience/s and notification channel/s.

By selecting all channels - all options will be selected.

For custom notifications, simply tick the box/es desired.

9. Select Continue. This will display a summary of your choices. Tap "Create Emergency List".

10. This will create a new emergency list and display it automatically.

Using an Emergency List

Once the emergency list has been created and users have been notified, you will be able to access the full list of people needing to be accounted for.

In the emergency list, tap on a user to change its status.

Additional details:

  • The list will show users in alphabetical order

  • By default, each person has a status of 'Not Account For' applied automatically.

  • Statuses are pre-defined and cannot be customised.

  • Search bar available to search specific users.

Tip: You can use audiences, employees statuses and visitor statuses filters by clicking the filter icon at the top right of your mobile screen.

Email notification for admins

The email notification for admins will include the type of emergency, who created the list, date and time as well as the number of users (employees and visitors) affected.

Accessing all emergency lists

Admins will only see emergency lists for locations they have access to.

  1. Open your RICOH Spaces mobile app.

  2. Tap on the "+" button at the bottom of your Homepage.

  3. Tap Emergency Lists.

  4. This will display all the emergency lists.

You can use filters at the top of the page to search for specific emergency lists.

The "Accounted for" total includes users whose statuses have been marked as safe (Accounted for, evacuated, safe elsewhere).
