Using your feedback, We have completely revamped the RICOH Spaces Insight tab to provide you with a handy panel of graphs and tables. Find out more about your locations: how many spaces do you have? Which days are the busiest?... And much more!

At the top of each report, you will see the available filters:

  • Date - Choose a predefined filter such as "last 90 days" or choose your custom start and end date

  • Location Filter - You can add one or more locations and the report will provide all the data relating to your choice. This is a core filter and as such how all other filters act will depend on the selection here. For example, the "Floor Filter" will only show the floors available for the Locations you have chosen, not all.

  • Floor Name - Filter by one or more floors in a location

  • Zone Name - Filter by one or more zones in a location

  • Space type - Filter by type of spaces

  • Space Name- Select specific space/s

  • Employee Domain - Do you want to filter the data by all employees with a certain domain? For example "ricoh.co.uk"

  • Public Group Name - Filter by one or more groups in a location

  • Full Name - Filter the report by one or more specific people

Please note that whenever you change the filters you must select "Update" for the report to refresh.

The Insights provide you with a handful amount of tables and graphs:

Trend graphs will present differently based on if you’ve chosen to filter by a whole year (the graph will show all 12 months at an appropriate level) vs if you've filtered by a week (whereby it may spread the data out and show you each individual day).

Most chart types can be hovered over to see extra information on the data.

On charts where there are multiple layers of data labeled, for example, "floors", you can click on each label to turn it on or off, showing only the data you are interested in for that occasion.

Key Metrics of the Location Utilisation Report

  • HeatMap

The map displays your locations. The busiest locations (count of bookings) will appear in shades of red.

  • Overview of Spaces

This table provides you with the count of space available sorted by type.

  • Busiest Day of the week

This graph displays the count of bookings by type of spaces per day. You can quickly visualize the type of bookings people are making and when. In this example, we can see that people tend to have fewer meetings on Fridays and very few users book lockers throughout the week.

  • Utilisation

Utilisation takes into account the time your spaces are available for, and what percentage of that time it has been booked for. For example, if parking is available 8 hours a day, and has been booked for the day, it is 100% utilised.

Comparison to previous period

This metric provides insight into the percentage in which the utilisation has grown or declined. For example, if it was 10% last month and its 15% this month, it has grown by 50% vs previous period (not 5%)

  • Cancellation Rate

The cancellation rate takes into account the number of bookings that have been made and have been cancelled. This metric provides you insight as a percentage. For example, a high cancellation rate means that taking into account all bookings made, many have been cancelled.

  • Check In Rate

Note: This metric is only valid for spaces which require check-in.

Check In rate provides you with a percentage representing the ratio of spaces booked which have been checked in by users. Whilst users may do bookings and honour them, checking in confirms that users are at their space.

  • Utilisation Trend by Space Type

In this graph, you can see the utilisation of space by type throughout your period. The high peaks mean that this type of space has been highly utilized.

  • Utilisation Trend by Floor

Just like the previous graph, this time we are looking at your floors. Are some more popular than others?

  • Busiest Time by Space Type

When are people using your spaces the most? This graph will provide you with a quick visualisation of your peak hours, here between 9 AM and 5 PM, and the most popular space type, here desks and parking.

  • Bookings by Space Type

This graph provides you with a visualisation of your most popular space types. We can see users mostly book desks and meeting rooms.

  • When are bookings being cancelled?

In this graph, you can easily see when the bookings are cancelled. In this example, we can see bookings are cancelled more than 5 hours before in general.

  • How far in advance are people booking?

This graph helps you understand when are your users making bookings. In this example, we can see the majority had booked up to 7 days before, followed by up to 14 days in advance.

  • Full Booking list

This large table of data provides all the key areas you might want to know on a per-booking basis. This provides the option for you to download this data into CSV format by hovering over the tile, using the three dots and selecting "download data".
