Using your feedback, We have completely revamped the RICOH Spaces Insight tab to provide you with a handy panel of graphs and tables. The Organisational Insight Report gives you an overview of your company as a whole using all your location data.
Available filter:
Date - Choose a predefined filter such as "last 90 days" or choose your custom start and end date
Please note that whenever you change the filters you must select "Update" for the report to refresh.
The Insights provide you with a handful amount of tables and graphs:
Trend graphs will present differently based on if you’ve chosen to filter by a whole year (the graph will show all 12 months at an appropriate level) vs if you've filtered by a week (whereby it may spread the data out and show you each individual day).
Most chart types can be hovered over to see extra information on the data.
On charts where there are multiple layers of data labelled, for example, "floors", you can click on each label to turn it on or off, showing only the data you are interested in for that occasion.
Key Metrics of the Organisational Insights Report
HeatMap
The map displays your locations. The busiest locations (count of bookings) will appear in shades of red.
Overview of Spaces
This table provides you with the count of space available sorted by type, total number of employees and total of locations.
Busiest Day of the week
This graph displays the count of bookings per day and the utilisation percentage. We can see Wednesday is the busiest day and it utilises 15% of your spaces.
Utilisation
Utilisation takes into account the time your spaces are available for, and what percentage of that time it has been booked for. For example, if parking is available 8 hours a day, and has been booked for the day, it is 100% utilised.
Comparison to previous period
This metric provides insight into the percentage in which the utilisation has grown or declined. For example, if it was 10% last month and its 15% this month, it has grown by 50% vs previous period (not 5%)
Cancellation Rate
The cancellation rate takes into account the number of bookings that have been made and have been cancelled. This metric provides you insight as a percentage. For example, a high cancellation rate means that taking into account all bookings made, many have been cancelled.
Check In Rate
Note: This metric is only valid for spaces which require check-in.
Check In rate provides you with a percentage representing the ratio of spaces booked which have been checked in by users. Whilst users may do bookings and honour them, checking in confirms that users are at their space.
Locations Booking Stats
This table breaks down all the locations and provides you with key information: the cancellation rate, check-in rate, utilisation, count of distinctive bookings, count of spaces and employees.
When are bookings being cancelled?
In this graph, you can see when the bookings are most cancelled. In this example, we can see most bookings are cancelled after the meeting and more than 5 hours before.
Location Spaces Data
In this table, you can find more information per location and sort the table by the metric of your interest.
WFH/In-Office Comparison
This graph shows you the overall working tendencies within your organisation. Here, we can see most people haven't set their status.
How far in advance are people booking?
This graph helps you understand when are your users making bookings. In this example, we can see the majority had booked up to 7 days before, followed by up to 14 days in advance.
