Prerequisites: Must have "location admin" role privileges on the Spaces platform to proceed.

Go to the Organisation Settings > Locations and select the Location that you want to manage

Allow Future Desk Bookings

This is a numeric value that allows users to book desks the specified no of days ahead. No desk bookings will be allowed if the user attempted to book 31 days ahead. Note: this could be 5 days in advance or 300, it's fully configurable. Dates outside of the selected period will be unavailable for selection.

Booking Slots

Allows for a Desk to be booked between set time intervals.

A desk can have a single slot allowing for it to be booked for a single duration in a day.

A desk can have AM / PM Slots allowing for it to be booked for TWO durations in a day. Note: Where a single slot booking already exists it is shown in the All DAY fields. This should be deleted here to allow for AM and PM bookings. Please make sure to press SAVE as you update and progress through any screen.

Allow Web Check-in

With this enabled, users can book this Desk via a Computer with a web-based application. I.e. Chrome.

A proximity location check is possible if enabled. This will validate how far from the office a user can be to check-in. Please allow for location accuracy of around 1.5km

Enable Phone Check-In / QR Scan Required

This will enable users to Check-In via a Mobile Phone. An additional flag will force users to then Scan a QR code from a desk at the office upon arrival.

Enable QR Booking

This will enable users to book a desk by scanning the QR Code at a Desk, where they had not previously made any desk booking in advance.

Restrict Number of Booking Per Day

This feature will restrict each user to only allow a Maximum No of Bookings per day.

In most cases, 1 per day is recommended unless AM / PM Bookings have also been enabled.

Restrict Number of Bookings Per Week

You may want to restrict the number of bookings a user can make each week. This could be to justify Hybrid working.

Restrict Bookings to Floor Max Capacity

Where a Floor capacity has been set, this flag will restrict the no of desk bookings allowed on that Floor.

Require assigned desks

This flag will restrict the number of desks that can be assigned by a user.

Require Valid Access Form

If this feature is enabled, users will be required to complete an Access Form prior to making any desk bookings. This form can be created

Disable Nearby desks on Booking

By invoking the Disable Nearby Desks on booking policy, users will be restricted to pick desks that may have been separated due to Health & Safety Policies. I.e. Booking Desk 30, would disable Desk 31. By invoking this policy, Desk 31 can be booked.

Auto Cancel desk bookings not checked in (Ghost Desks)

Ghost Desks are desks that have been booked but nobody checks into them. You can choose to cancel these desks automatically after a configurable time period and apply a custom message for your users to understand.

You must have the ability to check in to desks available (printed QR codes)

Zombie Desks

Zombie Desks are desks that have been booked and checked into but are then left for a long period of time. You can choose to cancel these desks automatically after a configurable time period using the below policy.

You must have the ability to check in to desks available (printed QR codes)

You must have IoT devices installed for this policy to be applied.
