Setting Up Your Global Settings

Set your calendar token, global policies for visitors and configure your AD Sync

Within the Organisation Settings, administrators can easily set up parameters that will be applied across all locations.

1. Navigate to the Organisation Settings tab.

2. Head to the Global Settings section.

In this section, you can set up:

  • Calendar Management & Permissions: Choose between Application Token or User Token.

    • Application Token allows users to manage their calendar permissions within the app. We recommend it. This works by using a token that has Administrator permissions to manage the interactions with any M365 Calendar. This allows our platform to perform more functionality than would be allowed by a user via Outlook.

    • User Token restricts users' permissions according to their existing 365 only. For example, room restrictions set in Outlook will apply in RICOH Spaces. This introduces limitations in RICOH Spaces, such as; the inability to use Layouts and prevent on behalf of other's meeting bookings.

  • Set visitors as private per default: new visitors will be added to the address book but private per default, meaning they won't appear in any searches.

  • Hide visitors on the feed: No users, including administrators, will see visitors on their feed.

  • Enable Cross Tenant Booking: Enables users to book Microsoft-integrated Meeting Rooms across different Microsoft tenants and allows booking Microsoft rooms from Google Workspace tenants.

Note:

Before enabling Cross Tenant Booking, an M365 Administrator will need to complete these steps outlined in the article here.

Once enabled, all users will need to log out and back in to RICOH Spaces to apply the cross-tenant setting successfully.

Booking of Microsoft rooms is supported when the room and the booking user are from different Microsoft tenants or when the booking user is from a Google Workspace tenant. However, booking Google rooms from a Microsoft tenant is not supported.

  • Microsoft Active Directory Sync: Select and import users from one or more connected accounts. By default, enabling a connected account syncs all AD users and updates the Employees List.

    • If the toggle isn't enabled, no sync will be performed.

    • Each one of your tenants can have its specific configuration.

    • Tenants can be filtered by an AD Security group using the AD group email address.

    • Sync the whole tenant will add, enable, disable and delete users according to your Microsoft AD.

    • The sync of users does not update their first and last names.

Note: If you filtered a tenant, removing a user from the security group won't delete or disable the user on RICOH Spaces

If a user is disabled or deleted on AD, they will be automatically logged out of RICOH Spaces

The AD Sync is done every morning at 4:30 am GMT for the EU Region and 4:30 AEDT for the AU Region

3. Don't forget to hit Save.
