Manage all your visitors easily within the Visitors tab. This powerful tool enables you to register and keep track of your guests at all stages of their visit. This article provides you with an overview of the module and all its functionalities.

In order to manage visitors, you need one of the following roles: visitor admin, location admin or global admin.

Overview of the Visitors tab:

The Visitors tab contains subtabs: Visits and Address Book, Configure Sign In and Emergency list

Visits:

In the Visits subtab, administrators get an overview of all visitors along with their contact details and key information related to their visit.

Filters:

Status:

An easy way to sort your visitors is by their status. Simply click on the different status to filter your visitors.

Columns:

Multiple columns are visible by default:

  • Visitor

  • Status

  • Check In

  • Check Out

  • Job Title

  • Email

  • Company

  • Bookings

  • Host

  • Daily Pass

  • Mobile Number

  • Registration Plate

You can customize your Visitors' board using Edit Columns

Hovering over the spaces icons shows key information about the visitor's bookings such as the desk booked, the parking space, room assigned, the hostname and the locker number.

If a space has not been booked, its icon will appear grey.

Search:

A quick way to find a specific visitor is by using the search bar.

Date:

Change the date to see the visitors planned on a specific date.

Address Book:

The Address Book stores all the personal information about your visitors such as Name, Email, Company Phone Numbers, and Tags.

You can even filter your contacts by Company or use the Search bar to search for a specific contact.

Using the View button opens your contact's profile.

You can easily edit, delete or create a visit for your contact.

Note: You can only delete a visitor if you never created a visit for them. If the visitor has done a visit, you won't be able to delete them.

Note: You can manually select to resend the visitor's email invitation.

When you create or edit a contact you can mark it as private. This means the visitor will still be in the address book but it won't appear in any searches.

Emergency List:

In the case of an emergency, administrators can access the visitors' emergency list. This is so the visitors that are on site are accounted for.

Pairing Sign In

This section allows you to set the settings for your visitor display. All visitor Displays share the same configuration. Each display has its own name and connection code.

Note: Editing a Visitor Displays design, notifications and form fields affects all Visitor Displays across this location.

In order to customize your sign-in, head to your Organisation Settings, select the location and head to the Visitor Management section. Find more information here.

On the Day

The ID number the text field in the Visitor detail's window allow the receptionist at the front of the building to track visitors for the day by entering a given badge to the guest.
