RICOH Spaces provides a full schedule view of all rooms in your location. Access it using the left-side menu and clicking on the Schedule icon

  • Clear view of capacity, and room attributes such as if it is a "Linked Room"

  • Select any space title to view the features available such as Wifi, Whiteboard, Conference Call.

How to book a room

1. Using the toolbar at the bottom of the schedule, select your Date, Location and Floor to find a space relevant to your needs.

2. If you select a meeting you own, you will be able to see all the details and edit the content. If you are an admin you will be able to view all meetings unless they have been set as private.

3. To book a room, hover over an available time slot and click. This will open the event panel, allowing you to enter the details of your event pre-populated with the chosen room.

4. Fill in all the information and hit Create Event.

You can add catering or request equipment if it is available for the room.

By clicking on more options you can add a meeting label, cost center, and make the meeting private.

In this example we can see the layout is set to the default one, some rooms have multiple layouts from which you can select. Click on the three dots to change the layout or remove the space to book another room instead.

Tip:You can also use the “+” sign in the toolbar to create an event, allowing you to add the room during the booking process.

Note: In the Event details you can switch on the Conferencing option available for Teams, Google Meet and Zoom. When users view the bookings or events, whether in Google Calendar or RICOH Spaces, they should see the onlineMeetingUrl, indicating that this event has an associated online meeting link.

Note: Some rooms might be assigned to a specific list of others for approval. Should you not have been assigned to the meeting room, you won't be able to submit your booking.
