When booking a meeting anywhere within RICOH Spaces, you will be presented with the event panel. This article provides an explanation of the different fields and how to use them.
- Event Title
- From and To (or if its All Day)
- Meeting occurrence - An event can be set up as a recurring meeting.
- Select the frequency i.e. weekly, monthly
- Occurrences - Select the amount of times you'd like it to occur (up to 10 times)
- Host - this will default to you but you can book on behalf of another host by typing their name if you have delegated booking privileges.
- Floor and Meeting Room - If chosen via the schedule, this room will automatically be added and its image will be shown further down. Otherwise, search for the room to add to the booking.
- Add conferencing - Teams Meeting or None.
- Meeting Label - Choose from available options (if set up by your organisation).
- Cost Center - This is a free text field to capture specific cost information for the business .
- Make Private - There is also an option to make a meeting private by switching the toggle. More information can be found here.
- Choose a layout - choose from a list of available layouts (if set up by your organisation) to specify how you would like the room setup on the day. Each layout may require a setup and reset time and if so they will be added to the start and end of your booking automatically.
- Add a service - You also have the option to add any services you may require (if set up by your organisation). More information can be found here.
- Add Attendees - Add the email address for those you would like to invite to the meeting.
- If they are internal, you should be able to select them from a pre-defined list after searching for their name. if they are external manually type in the email address of each one and hit enter to add them to the list.
- You have the option to pre-book any external attendees as a visitor.
- Once you have filled in the fields that you require, you can now confirm your booking by clicking “Create Event” or "Send for Approval" if the room selected requires approval to book.
- A confirmation message will be shown, and invites will be sent to the host and the attendees (for rooms requiring this will only happen once the booking is approved).
