RICOH Spaces allows businesses and employees to create and select Services during the meeting booking process.
You can make service requests for rooms that can include anything from equipment requests, lunch requests or clean-up. Services are created and configured by administrators in the services admin page.
See Space Services Overview – RICOH Products (ricohspaces.app)
See Creating a Service – RICOH Products (ricohspaces.app)
Note. This is an ADMIN only function, and is required to be completed ONCE, when the service is being created.
The Service request feature now includes 2 new facilities.
- The ability to add a Cut Off Time, - Time in advance this service must be booked by to allow relevant staff to be notified.
- Setup and Reset Times, where if the service is attached to an event the pre and post times give a buffer around the event for the required actions to take place.
From the RICOH Spaces homepage navigate to the More button Icon and select ‘Requests’. Then select View Services to create or add a new entry.
From the list displayed choose Edit or use the add button to proceed.
See Creating a Service – RICOH Products (ricohspaces.app) if adding a new service.
It is now possible to add the Cut Off Time and any Setup and Reset Times required to support this service. Press Save to complete.
If a user attempts to make a calendar booking for a meeting room, where a service requires a Cut Off time, they will be prompted to note the period set in above. i.e., 10 Minutes. Therefore, they must allow at least 10 mins cut off time before making a booking.
If a user creates a room booking and adds a Service, that allows for the cut off time to be met, they can proceed as normal and select the service from those available.
Here we can see what Services have been, made available for Meeting Room 5.6 Curry.
Select the Service required and complete any questions that may have been set.
Once the meeting room booking has been completed, i.e Event Title, Date, Times, Attendees, etc, create the event.
The event appears in the calendar view, where the Bell Icon depicts that a Service Has been requested.
Email confirmation of the Room booking is issued.
The Calendar View will refresh, and now the Setup and Reset times will be greyed out, preventing any Room Bookings at this time.
End.
