RICOH Spaces has created a fast and efficient booking flow that helps users book desks or car parking spaces instantly.
A user can quickly book a workspace without having to set anything other than the day(s) they wish to book. This reduces the number of screens a user may have to interact with.
Quick Book Selection Criteria
The system will automatically select desks for the user when booking based on the following criteria and order.
- Understand what workspaces both within and outside of zones the user has access to on the selected days.
- Sort the list into an ordered list of zones (on arrival) / desks that the user has booked most in the last 30 days.
- See if there are any favourites within the list remaining and select the available one for the longest period that the user has selected.
- If not favourites, work from the list without favourites.
- Quick Book will only account for all-day bookings.
- Instant Book will skip the confirmation notification process.
From your Mobile App Homepage select the + button.
Quick Book will appear as the first selection in the new window.
Simply tap – Quick Book to proceed.
You are presented with a calendar from where you can select the dates of the Bookings Required.
By default, the Instant Book and Parking Toggle switches are set to off.
Switch on Instant Book, and a message confirms that by activating this feature, the confirmation page is skipped, and a workspace will be booked for the user based on the selection criteria mentioned above.
Switch on Parking, and a message confirms that by activating this feature, a space will be assigned based on the selection criteria above.
Note: This assigned parking space selection can be changed if required by following the Change prompt.
In this example we have changed Parking 3010–07 to 3089.
Confirm by pressing the Add to Booking button.
You are prompted to confirm your change and present selection.
Your Desk and Car Park Bookings are done.
Confirmation Emails are issued to your registered E Mail address, where the booked desk space and car parking space details are provided.
These can be checked or cancelled from the Mobile App Home screen, View Bookings. (see also Image 1)
Enable the Instant Book Switch. Select the dates for Desk Bookings.
Complete the process by pressing the Book for XX Dates Button.
Your Desk Booking is complete and based on the selection criteria stated above.
Confirmation Emails are issued to your registered E Mail address where the booked desk space is provided.
All bookings can be viewed or cancelled from the Mobile App Homepage.

You will be prompted to Cancel the Booking.
If a User confirms the prompt, the booking is cancelled, and the status updated to cancelled immediately.
