To use Zone-based bookings a set-up is required within a Location. Zone creation and amendments are managed via Admin or Location users and can be done through the RICOH Spaces Web App.
Create a Zone
From the Home page navigate via the Icons on the left-hand side, to the Organisation Settings and select the Location required. This will bring the Manage Location screen to view, from where you can select Zones.
To create a Zone, select the + and enter the details of the Zone you are creating and confirm on which floor it is to be associated. You can upload an image if required to represent and visualise the Zone being created.
Across the TOP Tabs are more options for Booking Type, Desks, and Assign to.
Booking Type
Select the Booking Type: to be applied to the Zone.
Desks
The Desks tab will allow you to limit bookings and set a maximum booking number within this zone. It accepts numeric characters only and must be enabled to become Active via the slider. Once Desks have been assigned to the zone, they will also be displayed here.
Assign To
Assign Groups or People to a Zone - The Assign To tab allows you to manage who can book into the Zone being created. This can either be a System Group or through selecting specific users from the list.
Select ‘Add Assigned’ to choose Groups or People, (or both) that can book to this Zone.
As you select groups or users they will appear at the foot of the card. Once you have made your final selections, you must select Assign for these to be saved.
Removing People or Groups
This follows the same process, by choosing from the TWO options available: Assign or Selected. To change the status of the field, click selected or you can click the ‘x’ that is beside the name. Remember to select Assign, to complete the action.
If you have removed all Groups and People you must save by selecting Allow All.
Zone Booking Permissions
An organisation may decide to restrict bookings to Zones by Team or People. E.g., Finance can only book Zone A, Sales only Zone B.
