This article explains how to create a new service and associate it to one or more rooms within your selected location.
You must at a minimum be assigned the role Global Administrator, Local Administrator, Services Administrator or Facilities Administrator to carry out this task.
You must have the location you wish to add the service to already selected before proceeding.
From the RICOH Spaces:
1. Click on the more button Icon and select ‘ Requests’.
2. From the sub-navigation displayed click ‘Space Service Requests’.
3. Select the ‘View Services’ button
From this page, any services already created, can be viewed, amended or deleted. A service can also be disabled from here by deselecting the ‘Active’ toggle.
4. Click on the Add button at the bottom right of the screen.
A pop up display will appear;
5. Type the new service name and select from the drop down list the type of service being created. I.e., Equipment.
(You can include any comments in the service description)
6. Select the ‘Create Service’ button to save and proceed.
The admin would need to edit the service to complete the additional information required before setup is complete:
- Find the New Service – use search criteria if required by typing in its name.
- Once you have found the new service, select the ‘Edit’ button.
Now work your way through each of the tabs displayed filling all the additional required information about the new services as follows:
Details
Under this tab you can check the name and description entered are correct.
If this service has a fee associated with it:
- Enter the amount in the ‘Cost’ field.
- Select the ‘Save’ button to save the updates made.
Questions
Under this tab you can specify questions that the requester of the service must answer to complete the booking.
- Questions can be enabled via the ‘required’ slider.
- Select the ‘Save’ button to save the updates made.
Available Spaces
This allows you to assign this service to an individual or multiple spaces:
- Select the ‘Add a Space’ and a drop down list of Spaces/ Rooms will display
- Choose those of which you want to add to this service to.
- Select the ‘Save’ button to save the updates made.
Service Managers
This tab will allow you to assign Service Manager(s) that will be notified, when a User creates a booking, that requests this service. Those nominated will take responsibility for approving and managing the Service Request:
- Use the ‘Search field’, by typing the name of the person to be assigned
- Select their name once displayed- you can assign multiple names to the service or remove names if required.
- Select the ‘Save’ button to save the updates made.
You have now created a new service, which is available to request as part of booking rooms it is assigned to.
