Require employees to complete a form before they can book
For a building that can't be booked by anyone by default, you can use our location access forms and ensure that you have the correct policy configuration which you can see in our Managing your Building policy guide.
Configure a location access form
From the Spaces Home page navigate via the Icons on the left-hand side, to the down arrow, where you will be prompted to view more.
From the expanded options list, select the FORMS Icon.
From the new window, select the ‘Create New Form’ Button.
Press select and then NEXT, whereupon a list of Locations will be displayed. These locations will be the location which you would like the form to cover;
Note: our location access forms can cover multiple locations. Use the Shift key to make multiple location selections.
If the location cannot be selected then another form is already configured for the location.
Once you have the correct selection of Locations, press the Build Form button.
A New Form screen will appear through which you can configure the questions that you would like to ask at this Location.
Employee form submission
If an employee does not have an approved access form they will see the following message.
When they click complete form they will be shown the questions you configured in the previous step.
If the user exits this process, they can complete forms at any time within their profile page, the process can also be started from here.
Once the employee has submitted their form they will see the status change on the Main Form screen.
Approving Forms
If you have the correct permissions (forms admin, location admin or global admin) then you will be able to see all submitted forms within the forms area.
From here you can view & approve an employee's form. The employee will be notified when the status of their form changes. If you reject the form the employee can complete another form.
