Pre-requisite
Please ensure you have one of the following permission to manage visitors: visitor admin, location admin or global admin to continue.
Navigate from the homepage to the drop-down arrow and select Visitors.
Once selected you will be in the visitor administration area, where you can see all visitors that are booked into the office location selected.
Tip: You can filter to search for Visitors based on date or name, and use the Pre Booked, Signed Out, Signed In, Booked with Desk, to view the status of any Visitor.
Visitor Sign in Settings
Within the Visitor Area, you will see a Cog on the right side of the page
Once selected the Visitor Sign-in Fields control panel will appear. You are able to enable/disable the following:
- Notify the host or visitor
- Vehicle registration
- Information from Host
- Visitor details
- Daily Pass
Design Settings
You can configure how your sign-in displays look by heading to the Design tab.
Navigate from the homepage to the drop-down arrow, and select Visitors.
From the Visitor Area, you will see a Cog Select the Design tab at the top of the page.
You will be able to configure the design of your selected Panel / Display. This can include your Welcome messages, Company Logo, and preferred background colour.
Once you have made your changes, click Save to implement your changes.
Adding Screens
Should you have a visitor sign-in screen (Panel / Display), you can add and pair your screen from the Screen tab.
Here you'll be asked for a pairing code that is displayed on your device running the RICOH Spaces - Smart Displays application. Once you pair successfully the display will show your design and be ready for visitors to start signing in.
