RICOH Spaces provides administrators with the ability to link desks that are close to each other; we call these Nearby Desks.
These links are important as they help RICOH Spaces disable Nearby Desks once the policy is enabled.
Setting up nearby desks
Setting up a nearby desk is easy. From the Spaces Homepage, Navigate to the floor-plan Icon and select the desk you want to add Nearby Desks. If you have the correct permissions you should see an edit button on the popup screen. (Top right)
If you do not see the edit button, you should request appropriate permissions from your location administrator.
Once you click the edit button you will be navigated to the edit space page, this is a quick way to edit key information about the Desk selected and Nearby Desk.
At the Nearby Desk field, simply start typing and RICOH Spaces will suggest desks that match the criteria. From the presented list, select the desk you want and save your preferences.
That's it, you have made 2 desks nearby each other.
Note - the nearby links exist in 2 ways, therefore if Desk 58 is set as nearby Desk 56, by default Desk 56 will be set as nearby Desk 58.
Disable Nearby Desk Bookings
Once the links have been made RICOH Spaces can start disabling desks when a nearby desk is booked. This is useful if you want to limit employee contact or keep a set distance between employees.
To do this navigate from your Homepage to the Organisation Settings Icon, select the building, and then Policies under Manage Location.
You should now see all the policies that RICOH Spaces has to offer.
The policy we want is inside the section called ‘Disable nearby desks on booking’, turn the toggle on and click save.
Now any time a desk booking is made any nearby desk will also be disabled.
