Once you have all of the security areas covered. You now need to tell RICOH Spaces to book within your resources.
1) Pushing Resources
You have the option for RICOH Spaces to push all of the resources it has directly into G Suite if they don't already exist.
To do this navigate to the Organisation settings Icon on the left-hand bar and then select the location you require. From this Manage Location page, you will see the Google Workspace Options.
The G Suite building ID needs to match the building ID that you have within G suite https://admin.google.com/ac/calendarresources/buildings
You now have the option to perform the sync, it might take a couple of moments when you hit the button for the service to start. Please be patient.
Performing the sync will push RICOH Spaces resources to your G-Suite account.
If there is a Google Resource ID already supplied in the space resource the resource will be updated and if there is no Google Resource ID then we will attend to create a new resource.
If the resource is not found when updating we will create a new resource.
This cannot be undone so please ensure you understand what this sync will do. Once started sync will continue in the background and you will receive a notification once complete.
3) Existing Resources
Each space is identified by its resource ID from G-Suite, this information can be found in the space details page when you edit spaces.
Navigate from the Homepage to organisation settings and select your location/building. From the Manage Location Page, select Spaces from the options listed, select a Space and Edit.
From the Space Details page, select Calendar from the options listed.
If the resource ID is filled in when the sync is performed, RICOH Spaces will update rather than create a new resource.
If there is no resource ID at the time of the sync, RICOH Spaces will create a new resource with its local ID and populate the G Suite options automatically.
This process cannot be reverted and we recommend that you create a test location within G Suite and RICOH Spaces if you are unsure. Changes can be manually undone.
4) What is Next
Any space within RICOH Spaces that has a calendar resource ID will not push calendar events into the calendar on booking. These bookings will be made on behalf of the user so they have full control.
Our G-Suite support is currently limited. We can sync resources and calendars from RICOH Spaces only. If a calendar item is changed directly in Google calendar this will not be reflected in RICOH Spaces but this functionality will be available soon.
RICOH Spaces has specific features for desk booking including advanced policies and limited-time booking & assignee rules. For this reason, we recommend not using calendar integration for desk booking as we cannot honour the rules when bookings are made directly within Google Calendar.
Desk bookings will also appear from the office hours set, this means that all bookings synced with a users calendar will appear for most of the day however we do create desk bookings as "Free" to avoid them looking busy during this period.
