Managing your RICOH Room Display -Screen Management

Manage and configure your room panels

In this article, we will review the RICOH Room Display and where admins manage and configure their room panels. It's also where you will find your Customer PIN and Admin PIN.

Accessing the Screen Management Area

1. Head to the RICOH Spaces web and navigate to the Organisation Settings area.

2. Click on Screen Management from the menu.

Note: Only RICOH Spaces admins with the correct access will be able to access this area ( Screen Admins/ Location Admins/ Location Managers - View and edit all panels for the locations they have access to, Global admin - View and edit all panels across the organisation's locations).

Connected Devices

In this section, you will see all your connected devices.

Columns include:

  • Screen Name: The name can be edited and will appear in the device settings.

  • Space: The space managed by the device

  • Floor: The Floor where the device is located

  • Location: The location where the device is located

  • Device Type: The type of device configured

  • Status: This is the status of the device, whether it is currently offline or online

  • Background: This is the background image of your device.

Functionalities:

  • Search and Filters: Use the search bar and filters to narrow down your search

  • Click on Show Customer Code to see your Customer PIN

  • [COMING SOON] Edit: This will let you change the device name and its background.
    The backgrounds are configured within your Panel Backgrounds section.

  • Edit Columns: Select which columns are displayed.

  • Delete: This will completely remove the configuration of your device. It will need to be set up again. Note that this action is irreversible once you have confirmed the deletion.

By default, your room panels will follow the template. To override and customise a panel to be different from the template, click on the panel's edit button.

The template area is where you can set the default panel configuration that will apply to all your room panels automatically.

It includes:

  • Appearance: Set a wallpaper of your choice from a library of backgrounds or a custom background.

  • Logo: This can be uploaded in PNG format and displayed at 24px high. Please upload at 2x for the best resolution.

  • Panel interactivity: If this is disabled, the panel cannot be interacted with.

If the screen has disabled interactivity, it will only show what is happening for the current time, and if there is an event happening next. However, if there are multiple future events, the user will not be able to select to view them all.

Note: A screen showing multiple rooms allows the user to navigate to individual room views.

  • Booking Access & Authentication: Once this is enabled, users will use their personal PIN or Phone number (as set in their profile) to confirm booking-related actions. If a turned off, it means any user can perform booking-related actions, such as booking the room, cancelling or checking in.

  • [COMING SOON] Audio announcement: Turn on an audio reminder to go off 5 minutes before the end of the meeting.

    • If the host/attendees have no language preference or if the booking is anonymised, the audio reminder will go off in the language of the room display.

    • If the host/attendees have a language preference, the audio reminder will trigger as per the language of the majority.

Note on audio announcement:

  • At the moment, this is only available upon request. Please contact support.

  • They do not work on multi-room setup panels.

[COMING SOON] Panel Backgrounds

This is your library of panel backgrounds:

  • Library backgrounds: This is a selection of backgrounds.

  • Custom backgrounds: This is where you can upload your own custom backgrounds.

Upload a background

  1. Click on ‘Add Background’ to upload a new background.

  2. In the new window, name your wallpaper and upload your file.

    Please note that the background image needs to be in JPG or PNG format, and the recommended size is 1920x1080.

Settings

In the Settings section, you will find your Customer Code, used to set up devices, and the Admin PIN used to access the device's settings.

Please note that this is a unique code that cannot be edited, and no new codes can be generated.
